topic Tracking In-Person Events? in Tips, Tricks & Best Practices

Hello,

I would like to track an upcoming in-person event in HubSpot. What I've done is created a registration form (associated to a campaign), and a workflow so when a user completes the form they are added to a registration list. Likewise, I have created the same workflow for attendee-check-in: they scan a QR code to fill out a check-in form, then are added to an "Attended" list.

I would like to try and use the "Marketing Events" tool to track numbers for the event but I don't understand how to do this. How do I associate the form entries or lists to the ATTENDEES and REGISTRATIONS properties? Or, is there a better way to track all of this?

Thanks for any advise!

Hi @Linah4,

Thanks for reaching out to the Community!

As per our documentation, Marketing events can only be associated with campaigns from the campaigns tool. You can associate your marketing events with a HubSpot campaign to keep track of the event's performance and contributions to your campaign.

Both marketing events created from connected integrations and manually created marketing events can be associated with campaigns. In the Event source column, you can check if the marketing event was created from an Integration or Manually created.

Attribution reporting with marketing events is only available for accounts with a Marketing Hub Enterprise subscription. When doing so, you cannot create Contact create or Deal create attribution reports. You can only create revenue attribution reports.

Hope this helps clarify!

Best,

Diana

It's the #2 Event app in HubSpot and really maximizes your team's efforts in event management.

Thanks Diana! I am having a very difficult time using Marketing Events as a tool. I have now added the event as an asset to the campaign, but how do the "ATTENDEES" and "REGISTERED" numbers in the event get populated? Isn't there a way to populate these based on a list?

Hi @Linah4,

Thanks for the details!

I understand that you'd like to automatically add everyone who submitted the form as 'registrants' in the marketing events tool. Unfortunately, this isn't possible due to the tool's current limitations. The main challenge with marketing events is that it's primarily designed to work with integrations (you can learn more: Use marketing events). As a workaround, you'll need to export the contacts who submitted your form, then under Marketing Events Actions, import them back as event contacts.

I hope this helps!

Thanks for clarifying! Appreciate your time to help with this. I was worried that would be the only solution, it's too bad it can't be used stand alone for live tracking. Thansk again!

There is a Sep 2025 beta "Workflow action to Register a Contact to a Marketing Event" that lets you add Contacts to a Marketing Event as "Registered".

Contact submits a "Registration Form" > Workflow > Action to set Contact as Registered

You can enhance your registration form with Event Name and use branching in the workflow to divert the contact to different Marketing Events to register them for.

There is supposedly an upcoming 2026 beta that will do the same with "Attended".

How I'd tackle this:

Contact submits "Attendance Form" > Workflow > Branch to check if Contact is Registered already to the event >

If not, set Registered and set Attended

If yes, set as Attended

You can enhance your attendance form with Event Name and use branching in the workflow to divert the contact to different Marketing Events to register/attend.

Hey @Linah4 ! I definitely understand the frustration of trying to and keep track of registrants and attendees with your events. Along with SimpleEvents as a great solution at a base level, if you are really getting into running lots of events with complex strategies it's best to leverage HubSpot's Enterprise Custom Objects along with hapily, here's how it would work.

Use our event builder to create your event, which also automatically creates your registration form, landing page, lists, campaign, confirmations, and reminders

Contacts register (and can also bring +1s) on the landing page, creating a registrant object

Use our check-in pages or QR codes from their confirmation email to mark their registrant as attended

Here's a video going over a process that you could potentially adopt for future events!
