Hi Hubspot Community, we would like to hold live info sessions on different dates in order to answer basic questions and collect the e-mail addresses and use this type of "webinar" as a lead magnet. Do you have any best practices on how this works best, as my current process is rather time-consuming and difficult to scale?

This is how it looks: event registration via lead form and confirmation that we can contact him for marketing purposes. Depending on the date a visitor has chosen he gets an individual e-mail with necessary google meet information via workflow.

Google Meet is also not the best tool as there is (as far as I know it) no possibility to add a non google mail adress directly to a published event and offer an .ics attached to a mail automized with hubspot.

In short: We simply want to organize short live events that generate individual invitations to the relevant participants and at the same time collect the email address for nurturing measures. Could you think of a smoother workflow or a best-practice on live-sessions as a lead magnet?

Hi @KKraft1

Yes, this is achievable by using different platforms for hosting the webinar like Zoom and GoTo webinar. We can integrate them with HubSpot to capture the lead and nurture them.

Several webinar and meeting platforms integrate seamlessly with HubSpot, which you can explore in the HubSpot Marketplace at this link.

If lead generation is your goal, I strongly recommend a paid tier. Some of these services also offer the functionality of recurring meetings that can be embedded directly on your website. This feature automatically updates your landing page, allowing you to schedule weekly webinars once. Subsequently, each week's new webinar details will be updated, and past events will be removed. This is an efficient way to keep your webinar schedule fresh and engaging without manually creating new events every week.

Maybe you found a good workflow already - but figured I would chip in! If you are hosting webinar regularly or want to use webinars as lead magnets for on-demand, a dedicated webinar platform with a native HS integration is definitely worth looking into.

In respect to workflow for individual invites: You would ideally (A) let the webinar tool handle the confirmation + reminder email. This way you automatically get the personal link + add to calendar buttons included. Both for live, and on-demand. Or (B) if you want to send the emails via HubSpot for full control, use the personal link from the webinar platform as a dynamic tag in the HS emails.

Either way, as long as you use the personal link from your webinar tool - you can rely on the tracking of attendance, watch time, etc. from your webinar tool via integration to HubSpot, which makes life easier. For example, Univid is a webinar platform that supports this workflow (top rated on both G2 and the HubSpot marketplace).

Hope that helps!
