Thanks for your response! We do not send from a Contact owner as the new leads are not yet assigned to a specific person. But good hint to give this a second thought. Thanks

Hi!

Our current nurturing workflows are being sent in the name of one of our BDEs. We will have more BDEs soon and also want to expand the amount of workflows.

I am wondering what kind of best practices I should follow. My pain points are that if they leave the company we have to change the respective workflows. If they are on holiday we would also need to adapt to a colleague. Is there an easy workaround?

Was thinking of setting up a "fake employee" to make workflow emails being sent in their name. Any experience on that?

Thanks!

Hi @Bruk,

Are you sending these emails from specific users or dynamically from the Contact owner? Generally, I'd recommend the latter.

If someone leaves the company, you can automatically update all workflows by re-assigning the records to another Contact owner. The same would work for longer time off. (To easily remember who the actual owner is, you could create an additional HubSpot user property.) It's not ideal and involves a lot of bulk editing but I think it's currently the best solution.

An alternative would be, yes, creating a fake user with a generic name who is used for all nurturing emails.

Best regards!
