Building a data sync app

Hi there,

We have our own customer facing app and using Hubspot as well as a CRM to manage all relationships with our customers.

We want to sync contacts (customers) from our app database to Hubspot. Sync requires to update personal information and user statuses as soon it updates in user app.

Quick research showed that using Hubspot API is a good way to do it, but I'm wondering is there a way to save developers time and use some already existing app or tooling for that.

I found a whole bunch of Data Sync app built by Hubspot (https://app-eu1.hubspot.com/ecosystem/140563934/marketplace/apps/apps-for-operations-teams) which are doing perfectly contacts sync for some other use cases we have (sync with Front app for example).

Maybe there is a way to use Data Sync app to make our custom integration with our database?

Anyway would love to hear your thoughts on what would be the best approach here.

Hey, @nazir 👋 Welcome to our community! Thanks for the great question. Unfortunately, you cannot directly leverage Data Sync apps for custom integrations with your app database. You are on the right path with using our API and endpoints to sync data between your external systems and your HubSpot portal.

Based on my understanding you have a custom application having its Database and want to enable the automation that should automatically sync your users as contacts in HubSpot CRM. Please correct me if I'm wrong.

Hi, in my case my company and I are traying to do something similar, I have a question why keap comapny do something similar but you say that others can't do it?

So it is possible or not? and how keap do something like that?

Multiple tools allow you to do this, for example, Stacksync, our own, which is a no-code data sync tool for CRMs and databases (data warehouses). This will save your developers a lot of time, and it can be set up and configured without developer knowledge as long you have the credentials and can access your app database.

In one client use case where we did this, we brought customer usage data from the client web app into HubSpot so they could monitor revenue by company in a report on the company record page in HubSpot. This meant they didn't have to build complex reports in their app or in a BI tool as it was very easy to do that inside HubSpot.

Using HubSpot’s API is a solid approach. But if you want to save development time, you can also try Skyvia. It lets you sync custom data between your app database and HubSpot. No need to build everything from scratch.

Ok so theres a few things worth knowing if you’re building a HubSpot data sync from scratch:

Rate limits are going to be your biggest enemy. HubSpot’s v3 API has a 100 requests/10-second burst limit and a 40,000 request/day cap on Professional tiers. If you’re syncing a large customer base, you’ll hit this pretty fast. Therefore, you must build queuing and exponential backoff in from day one.

Property mapping maintenance is very underrated work. Every time your data model or HubSpot schema changes, someone has to update the mapping logic. This becomes a hidden ongoing cost that teams often don’t budget for upfront. And get saddled with later.

Also, HubSpot webhooks can deliver out of order or have delays during high-traffic periods. If accuracy matters, you may need to consider a polling fallback alongside webhooks rather than relying on webhooks alone.

For product usage/billing sync specifically, there are now marketplace apps that handle the rate limit management, retry logic, and property mapping out of the box, so your engineering team doesn’t have to maintain this layer. Depending on your use case it may be worth evaluating those before committing to a bespoke build. But if you need custom sync logic, the above one are the main ones to plan for.
