Netsuite Integration

Hello Everyone

I have successfully setup an integration between HubSpot and Netsuite (sandbox) following the "Connect HubSpot and NetSuite" guide.

I have now setup a Company sync in HubSpot one way. HubSpot to Netsuite but all items (268 of them) fail with the following errors:

This record didn't sync because of a NetSuite error.

Items you have requested in the record have been deleted since you retrieved the form

Hubspot categorises it as a Netsuite error - Stating:

This record didn't sync because of a NetSuite error.Items you have requested in the record have been deleted since you retrieved the form Netsuite SOAP web services usage log states: <platformCore:statusDetail type="ERROR"><platformCore:code>USER_ERROR</platformCore:code><platformCore:message>Items you have requested in the record have been deleted since you retrieved the form</platformCore:message></platformCore:statusDetail>

Any insight on how to resolve this please?

Hey @new-oc, happy Friday!

This error suggests that the data you're trying to sync from HubSpot to NetSuite references items or fields in NetSuite that no longer exist or have been deleted since the integration setup.

I would recommend please ensure that all the fields being synced from HubSpot match existing fields in NetSuite, especially any referenced items like categories, records, or custom fields. Also, look for any deleted or inactive records in NetSuite that HubSpot may be referencing. Reactivate or recreate these records if needed.

Once the above steps are addressed, try resyncing the records. You may need to retry the sync manually or reset the integration's data sync.

Thank you for your reply.

This is the first time I am syncing from hubspot to netsuite and as such no information held in hubspot exists in netsuite, So there shouldnt be an deleted or inactive records for the sync to be confused about.

I hear what you are saying about the fields existing in netsuite. I have reduced the mapped fields to only Company Name and it still comes back with the same error?

The error occurs when the items referenced in the sync process have been deleted or modified in NetSuite since they were retrieved. To resolve this:

Verify that the items exist in NetSuite and have not been deleted.
Refresh the data in HubSpot by reloading the latest items from NetSuite.
Check if the integration mappings are correct, ensuring required fields align between HubSpot and NetSuite.
Review the SOAP request logs in NetSuite to identify specific items causing the issue and fix or re-add them.

I can imagine the frustration here especially since it’s your first HubSpot > NetSuite sync.

That specific error usually means NetSuite’s SOAP API is expecting a reference (like an internal ID or item link) that isn’t being provided cleanly from HubSpot. Even with only “Company Name” mapped, NetSuite may still be looking for hidden references tied to the default form.

A couple of things you can try with the last 2025 guide:

Double-check your NetSuite form setup. Sometimes the standard Opportunity/Customer forms enforce required item or category references that HubSpot can’t fill. Testing with a minimal custom form in NetSuite (with only the truly required fields) can help.
Managing sync mappings in HubSpot-NetSuite integration

Run a sync with a very small payload (one record) while watching NetSuite’s SOAP logs closely. That can reveal the exact field or internal ID NetSuite expects.

Confirm that HubSpot is actually allowed to create those records in NetSuite without child references. Sometimes NetSuite insists on at least one valid item line, which HubSpot’s Company object doesn’t naturally provide.
