We looking into change CRM system and I need answers on the following questions in this initial stage:

1 We need to get all contacts (6 fields) exported to a csv/Excel file once every 24h. Is it any function in your system to extract such data into such file and automatically send it to an email address?

1.2 If it is technically possible, is it any limitations in your system how much data (fields or contact-records) you can extract in one file and/or how many time you can export it?
2.1 What versions of your system is possible to use with API solutions to ‘export’ data out from your system?
2.2 What is the price difference?
2.3 If possible to pay extra for some amount of API-‘recordings’ in your cheapest solutions – what is the price/API data then or what data packages do you have available?
3.1 We want to export 6 fields for all contacts in the CRM system once every 24h via API solution. Let’s say it is 1000 contacts in the system, we want 6 fields for each contact. It should just be ‘picked up’ once every 24h. How much API-data will this in your system?
3.2 Is every field one API call?
3.3 Is every contact (containing 6 fields) one API call?
3.4 Is all the contacts with its 6 fields one API call/24h since it is only ‘picked up’/extracted once every 24/h?

You can get the data you want on an automated schedule using an app in the HubSpot App Marketplace that exports HubSpot CRM data into Excel -- the Excel Integration for HubSpot. Using this app, your HubSpot data can be set up to refresh in Excel on a regularly scheduled basis. The integration would enable you to automate your sales reporting and create the charts you need.

Welcome, @mr_LP. I'd be happy to clarify further from a HubSpot perspective.

1.1 No, this is not functionality HubSpot offers. You can use the Contacts API's Get all contacts endpoint, but this will return contact data in JSON format and you will have to use custom logic or an external solution to place it in a CSV/Excel file and send it to a designated email address.

1.2 Not applicable per response to 1.1.

2.1 Again, HubSpot does not have the ability to export contact data to a CSV/Excel file via API, but you can retrieve contacts data from the Contacts API at any subscription level. For subscription information on other APIs, see the APIs by Product Tier page.

2.2 Contact data is accessible via API for Free subscribers and up.

2.3 Not applicable per responses to 2.1 and 2.2.

3.1 See below responses.

3.2 If you use a single contact endpoint like this, that will take 1 API call per contact, or 1,000 API calls per day. If you use a batch contact endpoint like this, you can request data for up to 100 contacts per call, or as few as 10 API calls per day.

3.3 It depends which endpoint you use. See response to 3.2.

3.4 No. Every time you request data, it will constitute an API call, regardless of time frame. See response to 3.2.

Hi @mr_LP

You can get all contacts exported to a CSV or Excel at your required pace using Sprinkle. Furthermore, at a later stage you can also eliminate Power BI and integrate all your data into Sprinkle which can serve you as a reporting platform as well.
