Any tips on how to automate Thank you Email and Onboarding process after Client sends 1st payment

Hello,
I’m looking for a way to automate the post-sales process in HubSpot without using the Deals pipeline. Our main goal is to ensure that once a client makes their first payment (setup fee + first monthly subscription), they automatically receive:

A Thank You email with the onboarding form to complete.
A link to schedule an onboarding call via HubSpot Calendar after submission of the onboarding form.

My boss mentioned using Zapier for this, but I’m not familiar with setting it up within your tool. Could you guide me on how to implement this workflow?

Additionally, once a client fills out the onboarding form, is there a way to export their responses in a more visually appealing format? Ideally, we’d like to generate a branded PDF with the questions and their answers, rather than exporting the responses into a spreadsheet.

You can use the workflows to automate emails. Just make sure that the criterias will be met by your triggers, That was my long-time project in our company, and before launching it, you should be able to test it multiple times.
