Hello everyone 👋 We just set up HubSpot payments and I'm trying to figure out the best standard operating procedure to communicate to our team.

Our Current Situation

We utilize an integration with our current CPQ software (QuoteWerks) to create deals in HubSpot. Currently, our reps need to send a credit card authorization form, wait for the form to be filled and sent back, then our order processing team manually submits payment. This takes a significant amount of time and often leads to errors due to drops in communication at some point in the chain. When I saw HubSpot Payments come out, I figured this could be a solid solution for us.

Where I'm Having Trouble

The trouble I'm having is finding the right way to link deals with the payment links we might want to create. How it's currently set up, it seems you can only assign a payment link to products that are in HubSpot and cannot create one-time payment links to associate with a deal that's been created. Since we don't use the HubSpot quoting tool (we have far too many products to use HubSpot quotes), what would be the best way to do this? Should I be looking elsewhere or rather work directly through Stripe to have payment links/invoices sent to customers? I figured if it was offered in HubSpot, this would be a good way to go to keep the number of tools to a minimum.

Appreciate any guidance the community can provide!

You can create a custom line item when creating a payments link, so I think you should be in good shape https://knowledge.hubspot.com/payments/create-and-share-a-products-payment-link. Customer support is a good resource if you're having trouble making that happen.

FYI that you can have at least 10k products in HubSpot, so while there might be some operational reasons why you wouldn't have them in your product library, technically speaking, you could make it happen.
