Recommendation for Custom Invoices

Hello,

Does anybody have any suggestions on how best to create custom invoices in HubSpot? The invoice object is somewhat limited in this regard.

Here are the general requirements we are trying to satisfy:

We should be able to choose properties from the contact and deal records that should print on the invoice.
We should be able to determine where these fields should be printed on the invoice.
We should be able to enter all line items manually with our own custom descriptions and amounts.
We should be able to configure the full layout and save it as a template.
If using a third party solution that integrates with HubSpot –

The invoices should be automatically saved in HubSpot directly.
We should be able to search for the invoices using key search words in HubSpot

Hey @PS23 - thanks for posting in the Community!

I found this Community thread which explores all of the possible customizations regarding invoices within HubSpot, as well as how to achieve them. I haven't found any further documentation past the most recent update in this thread (made in March of this year, 2025) that would allow for further customizations, but I think this is a solid start!

Thank you. I did run some searches before hand and have gone through this thread. Unfortuntaly, it does not have the solution we are looking for. Very limited customisation options.

This is a great suggestion allowing users to select specific properties from contact and deal records to display on invoices would significantly enhance customization and streamline the invoicing process, making it much more flexible and user-friendly. HubSpot Community

Thumbs up from me as well! Here's what our customers require which I cannot implement currently in satisfactory way.

Do not show associated contact name
1. I am unable to hid the associated contact name and HubSpot also forces me to associate a contact.
2. My workaround: Associate a nameless dummy contact.
Show company's tax ID
1. I have added a tax ID property to customer accounts (objects) and filled it in. However, I am unable to use it for invoices, e.g. like the address details are automatically pulled in.
2. Workaround: Defined a "Customer Tax ID" invoice property and fill it out manually.

Both are ugly and time-consuming workarounds. Please allow us to define what customer information is shown on invoices. There are many more local legal requirements we need to adhere to with our invoices.
