I need to create a fee product that calculates based on the subtotal of a sub-set of products in a quote. Each product has a type. In this specific case, I need to add a fee that is 20% of the subtotal of food and beverage items in the quote. Is this possible in hubspot?

HubSpot doesn’t currently support dynamic pricing based on a subset of line items within a quote. The built-in quote editor only allows you to apply a one-time fee as a percentage of the entire quote subtotal, not just specific product types.

Option that you can try -

1. Manual Approach

Tag the relevant products with a custom property (e.g., Product Type = “Food & Beverage”)
Manually calculate the subtotal for those items
Calculate 20% of that amount
Enter this value as the price of your fee line item in the quote

2. Third-Party Solution
For an automated workflow, consider a CPQ tool like Quote Hapily (not affiliated), which supports calculated pricing based on line item properties or product types, something HubSpot doesn’t natively offer.

Hi @ShaneStout , that’s a really good use case, and you’re right that HubSpot doesn’t support dynamic pricing based on a subset of line items directly in the quote editor. For example, you could tag your food & beverage products, then build a workflow that:

Identifies those specific items on a deal
Calculates 20% of their combined value (using custom properties or external logic)
Automatically adds a separate fee line item with that calculated value

That’s a really good question. Dynamic pricing for specific product groups would definitely make quoting more accurate and flexible. I’ve had similar cases where fees needed to be calculated based on certain item types, and the best workaround was using workflows with tagged products to calculate the percentage before generating the quote. Hopefully HubSpot adds native support for this soon — it would save a lot of manual effort for teams managing detailed quotes.

If you have data hub you can run this via workflow. Right now i am doing the same for a 20% service charge on applicable products. The workflow also automatically appends a tax rate to applicable products. Once an agent saves the line items, the workflow adds or updates the service charge line item.

The workflow set up is pretty simple. If you're not a developer, consider using AI to help craft the code. It's what i did.

Custom Code Summary

The custom code performs two main functions:

1. Service Charge Management: Searches for an existing automated service charge line item on the deal. If found, it updates the amount based on the calculated 20% service charge total. If not found, it creates a new service charge line item, applies Sales Tax to it, positions it at the bottom of the line item list, and returns the line item ID to be stored on the deal property for future updates.

2. Tax Application: Loops through all line items on the deal and applies Sales Tax to any line item marked as taxable (checking both the product property and line item property directly for standalone items). It skips the automated service charge product, items that already have the correct tax rate, and non-taxable items.

Key safeguard: The code prevents duplicate service charges by searching for existing ones before creating new ones, and returns an error if an update fails rather than creating a duplicate.

Quick Reference: Property Roles

Property Name Object Role/Purpose

Service Charge Subtotal	Deal	Automatically sums the amounts of all line items where the product is marked as a service charge item. This is the base amount that the 20% service charge will be calculated from.
Service Charge Total	Deal	Calculates 20% of the Service Charge Subtotal. This calculated amount triggers the workflow and determines how much the service charge line item should be.
Service Charge Line Item ID	Deal	Stores the unique identifier of the automated service charge line item. This allows the workflow to find and update the same line item on future runs instead of creating duplicates.
is_service_charge	Product	Marks which products should be included in the service charge calculation. When true, the product's line item amount gets rolled up into the Service Charge Subtotal.
is_taxable	Product	Marks which products should have sales tax applied. The workflow checks this property to determine if a product-based line item needs tax.
service_charge_amount	Product	Stores the percentage rate for service charges on products (e.g., 20 for 20%). Not currently used by the workflow but available for future flexibility if different products need different service charge rates.
is_taxable	Line Item	For standalone line items (not based on a product), this property can be set directly to mark them as taxable. The workflow checks this when no product association exists.
is_service_charge	Line Item	For standalone line items, this property can be set directly to mark them for inclusion in service charge calculations. The workflow checks this when no product association exists.
hs_tax_rate_group_id	Line Item	Links the line item to a specific tax rate. The workflow automatically sets this to connect line items with the configured sales tax rate.
hs_position_on_quote	Line Item	Controls the display order of line items in quotes and deals. The workflow sets this to 9999 for the service charge to force it to appear at the bottom of the list.
Sales Tax	Tax	The tax rate record that defines the percentage and details of sales tax. The workflow applies this tax rate to all taxable line items by linking them via hs_tax_rate_group_id.

Wish hubspot made this easier for everyone but this works.
