Hi experts,

Have a few questions for HubSpot integration with D365 CRM. Request your kind help.

1. I see there are connectors for real time sync. But do we have any facility for a full load of lead data sync with D365 CRM from HubSpot?

2. Is the real time sync instantenous? Seamless? What is the typical time taken? Or is alternate option like logic apps a better option?

3. If custom fields also need to be synched with D365 CRM, is this straightforward using the MarketPlace connector mentioned in https://knowledge.hubspot.com/integrations/connect-hubspot-and-microsoft-dynamics-365? Are there any additional costs incurred for custom field migration?

Hi @ABhat9,

I can really only comment on the data sync by HubSpot integration for Dynamics 365 – this is the integration we built ourselves. All "Data Sync" integrations are built on the same platform so they all look the same and have the same functionality (more or less).

1. The Data Sync integration will allow you to sync (A) All your records, (B) None of your records, or (C) those matching a certain filter (like "property A is known" or "list membership equals XYZ"). You will also be able to select which object to sync, like contacts, leads, companies, or deals. So my understanding is: yes, you'll be able to fully sync all of your Hubspot contacts that you consider to be leads to Dynamics 365.

2. When you activate the sync for the first time it may take a few seconds or minutes depending on how large your database is, because the integration will need to scan all contacts before it will start syncing. Once that is done you can expect any changes you make to update in the other app within 5 minutes TOPS. In most cases it's much much quicker.

3. Syncing custom fields will require you to upgrade to Operations Hub Starter. Do bear in mind that you may not be able to sync all of your custom fields. Multi-select fields (dropdowns, radio button fields cannot be synced at the moment)

Hello Jan, thank you so much for your prompt response. That clears most of the things for me. Couple of things at this point:

1. Can you please let me know the typical time taken for an initial load of 50k leads to Dynamics CRM?

2. Do all of the out of the box fields (that come with the product - HubSpot) get automatically synched? Hope there are no concerns with lookup fields like owner

1. I'm afraid I can't...

2. All of the fields that are included are listed here under the section 'shared data'. You can see per object what fields are included. Owner sync is not included. However, this is one of the top items on our team's roadmap so you should expect this to arrive soon.

Hi, owner sync was released in October 2022. More details here. Dropdown sync LITE was released this week, and you can read more about it here.

The sync engine checks for HubSpot property changes and record creation instantly, and queues it up. It checks for Dynamics property changes and record creation every 5 minutes, then queues it up.

We have advanced filtering on inbound and outbound data between Dynamics and HubSpot. However, we do recommend you test out the integration in a sandbox or developer account.

Hello ABhat9, from my experience developing and selling our ERPs to HubSpot connector ERP Bridge, almost real time syncing is possible (2-3 minutes delay).

But we only providing synchronization with ERP that are on-premises, so I don't know if cloud connectors are faster.

API calls are not a problem, you have up to 3 millions and then there's a change to buy upgrades.

3. Custom Fields Sync: Syncing custom fields with Dynamics 365 using the Marketplace connector is straightforward. The HubSpot Knowledge base provides guidance on setting this up. However, there might be additional costs associated with custom field migration, depending on the volume and complexity of the data.
