External Data Sources Don't Automatically Refresh?

We've recently started using Data Studio to pull in Google Sheets as an external data source. It was our assumption that this would keep up-to-date in realtime, or at least automatically refresh itself at a reasonable cadence. But it doesn't appear to be the case.

We have to manually refresh it - using the Refresh Now feature on the external data sources tab - and even then it sometimes fails to update (the "last updated" field is incorrect, at the time of writing)

My question is: Is this the expected behaviour? Or is something wrong with our dataset?

For context, the idea is that the external data source feeds into a dataset, and the dataset is used to create reports using HubSpot's native tools (as opposed to embeding a Google Sheet directly onto a dashboard).

If you connected the sheet via Google Sheets Data Ingestion inside Data Studio, HubSpot says updates occur every 5 minutes. You should not need to use Refresh now for normal operation.

The caveat that often makes this look “not updating”:

Even if the external data source is updating, HubSpot reports themselves are not real time.
For example, custom report builder reports refresh automatically every 2 hours, and manual refresh has limits.

So a good test is: check the dataset preview and the external data source status inside Data Studio first, not just the dashboard report.

@JDAgostino This definitely isn't happening for us - the data is weeks out of date, and has needed manually refreshing each time.

Any ideas?

From my admitedly limited experience with the rleatively new tools, I do believ this is expected behavior right now, and it’s mostly about how HubSpot’s Data Studio layer refreshes, not something “wrong” with your Google Sheet or the external data source itself. When I looked around a bit, here's what I found on how the refresh works.

When you connect Google Sheets as an external data source via Data Studio in HubSpot, HubSpot’s documentation and other community resources seem to suggest that the sheet is ingested on a schedule (HubSpot mentions roughly every 5 minutes for many external sources as @JDAgostino mentioned, though this can vary by connector and load). However, the HubSpot datasets and reports built on top of that external source do not update in real time; for example, HubSpot’s custom report builder has its own 1–2+ hour refresh rhythm and rate limits on manual refreshes. Looker Studio / Google Data Studio itself also uses a cache with a freshness window; even when you hit refresh in a report, it may respect a data freshness threshold rather than pulling your sheet instantly, depending on its configuration.

What this tells me is that the external source refresh and the report refresh are separate steps: the external source may be up to date, but the dataset/report that you’re viewing may still be serving cached data on its own schedule. Google Sheets itself also has its own recalculation and caching, so formulas or imported ranges may lag a bit, which then cascades into what Data Studio/HubSpot see.

You've probably done extensive testing, but here's what I'd test. To confirm things are working as intended, test in this order:

Open the Google Sheet directly and confirm the values you expect.
In Data Studio / HubSpot external data sources area, check the preview of the external source to see if those values match there. If they do, then the ingestion is working.
Then check the dataset and finally the report that uses that dataset; if these are behind, it’s almost certainly the reporting refresh cadence, not the sheet.

So I think right now it's a matter of treating the HubSpot reports as near‑real‑time but not live. Expect delays on the order of tens of minutes to a couple of hours, depending on which reporting tool you use. Then I'd suggest using manual refresh on reports only when you really need it, understanding that it can still be constrained by caching and HubSpot’s own limits.

Not the best answer based on your use case, but I hope it at least confirms some of what you're seeing.

Dan and JDAgostino explained the layered caching issue well, but the fact that your data is weeks out of date and not just a couple hours behind is definitely not normal behavior even accounting for the report refresh cadence. The 5 minute ingestion cycle should at least keep the external data source itself current in Data Studio, even if the reports lag behind. If the data source preview inside Data Studio is also weeks stale then something is likely broken with the connection itself, not just the reporting layer. I'd try disconnecting and reconnecting the Google Sheet as a fresh external source to see if that kicks the ingestion back into working order.

One thing worth checking is whether the Google Sheet has any import formulas (like IMPORTRANGE or QUERY) that might be failing silently. If HubSpot ingests the sheet while those formulas are returning errors or stale cached values, it picks up the bad data and sits on it until the next successful pull. Also make sure the Google account that authorized the connection still has access to the sheet, because if permissions changed HubSpot wont throw an obvious error, itll just stop refreshing quietly.

More broadly though, this kind of fragility is pretty common when using spreadsheets as an intermediary data layer for reporting. If the data in that Google Sheet is originally coming from another system like a database, ERP, or another SaaS tool, syncing that data directly into HubSpot tends to be way more reliable than routing it through a spreadsheet first.
