Outreach.io and HubSpot integration

Hi, I want to know what are the features of the Outreach.io and HubSpot integration. When I do my outbound, and receive replies, I want to sync those prospects with the HubSpot CRM and be able to see all prospect activity (calls & emails). Is that possible?

HI @RSingh96 , thank you for your question. The current Outreach <> HubSpot integration as described here focuses on syncing Prospect<>Contact and Account<>Company data. The activities themselves are not part of the sync.

In regard to the emails you send from Outreach, you can use the BCC address so they also populate in HubSpot. Other activities are not yet part of this sync.

In regards to email sync, this is what I have found -

Goal = I want my emails sent from Outreach sequences & my Gmail, in Hubspot for the same contacts.

Since - Outreach will be installed on my Gmail account - Hubspot won't be able to track or retrieve communications made to contact through Outreach.

However, in my vision of this implementation - I foresee Outreach staying in my Gmail inbox - in that case, is it possible for us to set a pre-determined email address in case of -

a. Outgoing email from my Gmail through outreach

Add the Hubspot email address, in the BCC field for every email - this needs to be automated and configured for each sales rep to make it work.

My observation - I have noticed that we can do BCC email address sent from Outreach to Hubspot.

b. Incoming email to my Gmail

Add the Hubspot email address for auto-forwarding email to my Hubspot equivalent email address.

My observation - We can do auto-forwarding from the inbox for each sales rep.

How can we configure bcc email to hubspot and auto-forwarding on Outreach end of things to make it automatic, rather than relying on the SDR or Sales rep to always remember adding bcc to the correct Hubspot address.

Also - would this need to be configured at every Sales rep , as each rep will have their own unique Hubspot BCC address and auto-forwarding address?

If my bold statements are correct, why this workaround is not shared with everyone?

@SBhatnagar1, really interesting to get a better understanding of your use case. As mentioned in my previous post. You can indeed log emails by using a BCC address. This knowledge base article will help you. This Outreach help article will explain where to add this email address. The same help article will also help you set up a forwarding address in Gmail.

The BCC and forwarding email addresses in HubSpot aren't unique for every rep but use the same format {hubid}@bcc.hubspot.com or {hubid}@forward.hubspot.com which will save you some time.

Please be aware that the email address you're using to send the forwarded email / bcc email must be one of the following:

A user in your account.
One of your connected email inboxes.
An alias in your email client (either an alias that has been configured in your connected Gmail inbox, or an alias added to your Profile & Preferences).

So let me get this straight: I can't auto track activities in Hubspot that are sent via outreach unless I add an auto bcc... I could add the Hubspot plugin, but that doesn't work with Superhuman. Outreach works with Superhuman, and pulls all my email activity into it's platform, but that activity doesn't then sync to Hubspot, so I can't review all prospect/contact info in a single place...

Hubspot is litterally the dumbest CRM... Glad we're moving to Salesforce soon

@agosselin1 the main use case we have is for all calls and emails made from Outreach to show up as activities on the prospect->contact and account->company.

As a BDR, making a call from Outreach, should log a call, disposition, and details, into HubSpot call activities.

Ultimately, what we want from an integration, is for the data to be integrated. I don't want to pull some activity reports from HubSpot and others from Outreach. How would I guarantee to prevent duplication? I also want to know the total number of touches to convert a lead to a deal, and a deal to closed won (or lost) and have analytics around total activities.

We are using the BCC email functionality for emails. Is there a similar work around for phone calls?

@CAnderson87 Great news. Last week we launched a small improvement to the Outreach integration.

You should now be able to sync Outreach "Calls", "Tasks" & "Outbox Messages" too. Simply go to "connected apps" in your account. Search for outreach and click "sync more data". Select "Activity Sync" and the preferred activity you would like to sync.

Syncing Calls and Activities is a great step forward, but it's missing one fundamental still, which is critical for one centralized set of reporting and a single view of activity inside HubSpot..... You cannot map the Outreach Call Outcome to a HubSpot Call Outcome, despite all the other call properties being synched.

It is available as an option in the integration dropdown property mapping, but the integration does not let you choose anything to map to on HubSpot, everything is greyed out when you try to map it.

Of course one of the reasons here is that the call outcomes in Outreach are different to the call outcomes in HubSpot - we had this issue previously with owners, between both systems before the integration was updated to accommodate this. But with owners, you could do a workaround and map custom properties. With HubSpot Activities, there are no custom properties...

Yeah it's really unfortunate we're not yet able to pull that datapoint in
by default, but rest assured we're actively trying to find a way to push
this in the field mappings.
