Automate associations between multiple objects

Hi there,

I am pretty sure there isn't a way to get this done, but I wanted to confirm.

Background: We have created a "Contract" custom object and a "Project" custom object. Projects are associated with the Contract, and a company could have multiple Contracts (different geos, different projects, etc.). We have created a "Contract number" custom property that is on Contracts, Projects, and Contacts.

Problem: I would like to automatically associate Contacts with the Contracts based on the contract number. I have played around with Workflows and it doesn't look like it is possible to associate a Contract with a Contract based on a matching property. Is this accurate, or am I missing something?

Correct, this is not possible out of the box. Workarounds include custom code actions (available in Operations Hub Professional and Enterprise) or third-party integrations like Associ8.

I am deploying Associ8 right now for similar use cases. You will need to have a matching property as you mentioned in the two objects that you wish to associate. Here is a good video and blog

I'm a little late to the party here, but Associ8 can do exactly what you're needing! It creates a workflow action that associates the enrolled object to other objects based on matching property values:

New Workflow Actions for Associations

June 18, 2024

What is it?

Admins will be able to automate parts of the association management process through workflows. They will be able to use new association actions within their workflows to help apply, update, or remove association labels and create new associations based on matching property values. We recommend watching the following videos to learn more:

Why does it matter?

Historically, managing associations and their labels was a tedious and manual process. This new functionality allows admins to automate some of those processes while increasing data quality and reducing manual work. As companies scale, it is difficult to continue managing associations manually, especially as their usage of associations and labels increases.

How does it work?

Admins will be able to add association actions to their workflows to help automate parts of the association and label management processes

We are introducing 4 new actions in contact, company, deal, ticket, and custom object based workflows :

Apply labels to already associated records

Update existing association labels

Remove existing association labels

Create new associations between two records that have properties with exact matching values

Note: This functionality only exists for single-line text, multi-line text, or phone number properties

Who gets it?

Content Enterprise, Content Pro, Marketing Enterprise, Marketing Pro, Ops Enterprise, Ops Pro, Sales Enterprise, Sales Pro, Service Enterprise, Service Pro
